The Oregon Athletic Clubs (OAC) constantly strive to maintain comfortable and safe atmospheres that best serve our diverse membership. We appreciate all members' assistance in following the policies and procedures we have set forth. Please note, we reserve the right to change these policies at any time. Should you have any questions, or would like to report policy violations or concerns, please do not hesitate to contact the general manager or any department manager of your home club. Thank you!
Appropriate attire is required. Apparel, including swimwear, should be suitable to our family atmosphere; thong swimwear is not allowed. Street clothes should not be worn in the pools as the fabrics and detergents can cause problems with the pool systems. When working out, clean and comfortable athletic wear is best. Shirts and shoes must be worn in all areas of the club and open-toed shoes are prohibited in the weight room and cardio areas. Court shoes are requested on the courts, in the gymnasium and in the main studio as other types of shoes can mark the floors.
Bicycles must be locked in the bicycle racks provided outside the facility, or in a rented bicycle locker where available. For safety and comfort reasons, bicycles are not allowed inside the club and should not be locked to other fixtures, such as railings, poles or fencing. All wheeled equipment, such as skateboards and roller blades, must be carried, not ridden, inside the club. OAC is not responsible for any damage or theft to bicycles or other wheeled equipment.
For safety and comfort reasons, cell phone usage is restricted to the restaurant and lobby areas. Cell phone usage is not permitted in the locker rooms or any of the fitness activity areas of the club. The club provides house phones for use throughout the facility.
Oregon Athletic Clubs welcomes and encourages feedback from our members and guests. A suggestion box and forms are located at the front desk. Please be sure to indicate if you would like us to contact you regarding any concern or compliment. We also welcome emails, phone calls and personal conversations with any of our staff. Don't hesitate to call the club, or a complete list of management emails can be found on the “contact us” section of each club's web page. We want to hear what you have to say!
The behavior of individuals within our facility reflects back on the club as a whole. All members and guests must conduct themselves in a manner consistent with reasonable, intended use of the club facilities. Members who behave in a manner that is detrimental to the facility, the welfare of the others, or in general damages the reputation of the club may have their membership terminated upon sole discretion of the club management. The use of profanity will not be tolerated. No individual shall engage in any unlawful activities on club premises.
OAC may close during severe weather, natural disaster or upon the request of the local governing bodies. During times of maintenance and repair, part or all of the entire club may be closed for the safety of members and staff. Specific areas of the facility may also close for special events designed to serve our membership and organization. All efforts will be made to post any such closures, or any availability of reciprocal clubs, with advance notice.
We ask that our members do not bring in any of their own athletic equipment when this equipment carries risk of physical harm to an individual or the facility (for example baseball or golf equipment) or if the equipment is equivalent to that which OAC offers. Such equipment brought into the facility may be held at the front desk for the duration of your time in the club.
OAC is committed to creating a welcoming environment for all individuals without regard to race, religious creed, color, national origin, ancestry, disability, medical condition, marital status, sex/gender, sexual orientation or age. We believe a healthy community is a diverse community.
Gift cards are available in any denomination for all goods and services provided. They may be purchased at the front or spa desk, and may be paid for directly or by charging the amount to the member's account. Gift cards should be treated as cash and cannot be replaced if lost or stolen. All gift card sales are non-refundable. Promotional gift cards have an expiration date; please ask for details on the specific offer.
Please note that gift cards cannot be used toward member dues, if you would like to give or receive the gift of member dues, please contact your OAC club's business office directly.
We encourage our members to share their club with their friends, business associates and family! Members over the age of 18 may bring in up to 4 guests (of any age) per membership per day. This guest limit is the same for all membership categories, including individual, family and couple. Guest passes are available for purchase at the front desk. One week and temporary memberships may also be purchased through the membership department. Please inquire into any promotional opportunities we have for trial memberships for non-members, and remember that OAC always offers current members a thank you gift for the referral of a new member to our community.
We recommend making an appointment for your guests visit so that we may assist in introducing them to the facility and amenities. Please remember that all guests must sign in at the front desk, and will be required to sign waiver and medical release forms. Any minors visiting the facility as a guest must have a parent or legal guardian present to complete these required procedures, and must remain under adult supervision per OAC Youth Policies during the duration of their stay.
Please note that as a private, membership-based facility, OAC policy prohibits the same individual from visiting a single club as a guest more than twice in one month. We would also like to remind you that members are responsible for the behavior of their guests, all membership policies, including those for use of the club by individuals under the age of 18, must be followed.
OAC provides members complimentary lockers for day use, and will consider any property left overnight in our day use lockers as a lost item subject to Lost and Found policies. Should you be interested in keeping items at the club, our convenient and affordable private locker rental can be arranged through the front desk. OAC is not responsible for theft or damage of property and we remind you that the safest place for your valuables is not in a locker or in your car but at home.
All lost and found articles must be claimed in person. Lost articles are held for a maximum of thirty (30) days, after which OAC will donate all unclaimed items. Contact the front desk for assistance in claiming your lost articles.
All members must present their membership card to the front desk each time they access the club. A permanent membership card or number must be issued before charging privileges are allowed. If a membership card is lost, a new one may be requested at the front desk and photo identification may be required. A $10 card replacement fee will be charged.
Children under the age of 9 are not issued a membership card. Children ages 9 thru 15 may have their own membership card if they are a self-manager, but must check in with an adult who remains on club premises. Children 13 and older who have completed Peak Performer Training may check in to the club on their own. Minors will be asked to wear a colored wristband while in the club as per the self-manager program. Complete Youth Policies, including our outstanding Self Manager Program, are stated in a separate document.
Any notice pursuant to these rules and regulations or the Membership Agreement shall be addressed via OAC newsletters, statement stuffers, internet postings or sent to the member at the address included in the Membership Agreement.
No professional-use photography, video recording, filming, audio or recording of any form is permitted on OAC premises without written permission of Oregon Athletic Clubs ownership. For business, privacy and safety reasons, we also reserve the right to restrict any personal-use photography and other forms of recording.
Unused items may be returned within thirty (30) days when accompanied by the original receipt. We cannot accept used or damaged items, or refund cash for these items. The refund amount will be credited to the member's account or as a gift card if the purchaser is a non-member.
For the health and comfort of all, Oregon Athletic Clubs are tobacco-free facilities. Smoking and other tobacco use is not allowed within 10 feet of any of our facilities. This includes all of our indoor and outdoor areas. We also prohibit all illegal drug use, or use of the facility while intoxicated.
Specific areas, such as pools, hot tubs, weight equipment and running track areas, have posted policies we require all members to follow. The Pointe Spas, Kid Central and Event rental amenities have separate policy documents, please refer to those for any further information. All policies are for the safety and enjoyment of our members and we appreciate your cooperation.
Membership privileges may be suspended if a member has violated any of the OAC rules or regulations, including if charges are thirty (30) days or more overdue. Membership accounts ninety (90) days past due will be cancelled and sent to collection. Reinstatement of cancelled memberships will occur only upon payment in full of all overdue amounts, all late fees and the reinstatement fee.
OAC provides numerous health and wellness services, including personal training, spa services, weight management and related programming. Under no circumstance is any member (or guest) to train another member (or guest) for compensation. If it is determined that paid personal training has been conducted on the premises, the trainer and trainee will each lose their membership, employees may be subject to termination. OAC further prohibits our employees from providing their paid services in trade, or conducting any other business on club property for personal benefit. Any trade agreement must be approved in writing by OAC ownership.
Individual members are 18 years or older.
A couple membership shall be defined as two adult individuals residing at the same address. Proof of residence is required.
A family membership shall be defined as any two adults over the age of 18 and includes up to 3 dependent children or stepchildren younger than 23 years, all residing at the same address. Additional dependents may be added to a family membership for a fee. Please ask the Membership Department for full details and to learn all the benefits Family Membership has to offer.
Primary Member must be over 65 years of age. May not be combined with other discounts, additional rules apply.
OAC will waive the guest fee for the young children of Individual and Couple Members with the following restrictions: The child must be under the age of 6, the member must be the parent or legal guardian of the child, and the child's information must be registered on that adult's membership account. Under these conditions, in addition to a waived guest fee, paid OAC family programming may be purchased at the member rate. However, child guests may not use family membership inclusive programming or other benefits of a family membership. Further restrictions may also apply, please ask for full details.
Under specific conditions, additional members may be added on to a membership account including the following categories: additional child add-on, dependent child add-on, dependent adult add-on and nanny/care giver add-on. Additional rules and fees apply.
Oregon Athletic Clubs is pleased to be able to offer two joint membership options with our facilities: RiverPlace Athletic Club (RAC), Hawthorn Farm Athletic Club (HFAC) and the Bethany Athletic Club (BAC). These membership options are perfect for individuals who live in one location and work in the other! Our Gold Membership includes HFAC and BAC and our Platinum Membership gives you full access to all three of our clubs.
OAC is a member of the International Health, Racquet and Sports Association (IHRSA), which affiliates quality clubs and allows OAC members to access their clubs throughout the US, Canada, South America, Europe and Asia. Facilities and guest fees vary and IHRSA passports are available for purchase at the front desk.
Another reciprocal program available to our members is FitLife. Perfect for our members who travel in the Northwest, FitLife offers you an opportunity to work out in other participating clubs. Contact the membership office for full information or to purchase a FitLife pass, which is valid for two weeks at a time.
All requests for membership cancellation or changes must be submitted in written form. Please note that fees may apply. OAC cannot accept responsibility for account changes of any kind without a written request. Thirty (30) days notice is required for cancellation.
The billing cycle ends on the 10th of each month. Dues for each succeeding month, as well as all open charges from the previous month, are compiled (i.e., cafe, massage, spa, pro shop, guest fees, kid central, personal training, aquatic lessons, youth and adult programs) and recorded. Statements are sent between the 10th and 13th, depending on weekends and holidays. We do not allow members to carry balances on club accounts beyond the current billing cycle.
Please notify our business office, in writing, of any change of address within thirty (30) days. Phone numbers, email and other contact information should also be updated with the business office over the phone, in person or in writing.
For the convenience of our members, food services, kid central, retail and related items may be charged to a membership account. We recommend that the primary account holder review their expectations regarding charging privileges with all individuals named on the same account, as the primary account holder is responsible for all account charges made by those individuals. OAC is not responsible for any spending disputes between individuals on a membership account. All in-house charges will be included in the monthly statement amount.
Accounts not paid in full by the 7th of the following month will be assessed a late fee. There will be an NSF fee on all returned checks or declined credit cards.
Autobill is a payment option that bills a member's credit card, and payment from the credit card company is made to the club. This process is currently run on the 20th of the same month for which the statement is generated (For example, if a statement date is 9/10, then the autobill is processed on 9/20).
EFT is a payment option that transfers funds from a member's checking account to the club. This process is currently run on the 5th of the month for the statement amount generated in the previous month (For example, if a statement date is 9/10 then the EFT is processed on 10/5).
A membership Leave of Absence (LOA) may be taken for up to a maximum of six (6) months and a minimum of one (1) month. Monthly dues will be reduced but not eliminated or pro-rated during the LOA. Member may not access any portion of the club while on leave of absence status without paying a guest fee and receiving approval from the General Manager. LOA may be exercised for medical-related reasons with written notice from a treating physician indicating length of time the member will be unable to use the facility or for a work-related due to extensive travel. Forms are available in the business office and marketing department. These must be submitted and approved before the LOA is to begin. Please note that the LOA will extend the time commitment for members who are still in a first year agreement, or otherwise not on month-to-month agreements.
The following policies and procedures should be followed when requesting a refund for any club activities, programs or services:
Please give twenty-four (24) hours advance notice to your instructor, service provider or program head if you will not be attending a given session. You will be billed 100% for any session where you have failed to give twenty-four (24) hours advance notice.
Please check on the event or program refund policy when registering, as policies do vary by event. Cash refunds will not be made. Refunds will be credited to a membership account or, if the individual is a non-member, may be offered as a promotional gift card.
